Natural Healing Hearts

This notice explains what information The Ripple Foundation collects when you apply as an artist or practitioner, register for a retreat, contact us or sign up for our newsletter, why we collect it, and what you can ask us to do with it. We keep it short and plain on purpose. If anything is unclear, write to us.

Who we are

The Ripple Foundation is run by Philine Allard, as part of Natural Healing Hearts, in Portugal. We are responsible for the information you share with us through these pages. You can reach us at philine@naturalhealinghearts.com.

What we collect

Contact details: your name, artist or professional name, email address, phone or WhatsApp number, and where you are based.
Your application: your practice, your offers, fees, availability, experience, qualifications, insurance and invoicing status, and anything else you choose to tell us.
Your material: the portfolio images, portrait, images of your work with people and any portfolio PDF you upload, and the links you share.
Practical and care information: for example safety considerations for your offers, or food preferences and allergies when you register for a retreat. Please only share what is needed.
Your choices: which declarations and optional permissions you ticked, and when.

Why we use it

To review your application and see whether and how we could work together.
To contact you about your application, registration or message.
To prepare proposals for venues, but only with your agreement and only if you are shortlisted or accepted.
To plan retreats and experiences safely and well.
To send you our newsletter, artist calls or future opportunities, only if you ticked the box for it. You can unsubscribe or change your mind at any time.

We use your information because you asked us to review your application or registration (steps before a possible agreement), because you gave your consent for the optional permissions, and because we have a legitimate interest in running our network with care.

Who can see it

Only the small team of The Ripple Foundation. We do not sell your information and we do not share it with venues or other parties without asking you first. We use a few trusted services to run this website: our website host, database and private file storage (Cloudflare), a bot check on our forms (Cloudflare Turnstile), our email service, and a private team messaging channel that tells us a new form has arrived. They only process your information on our behalf.

We count visits to these pages with privacy-friendly analytics that do not use cookies and do not identify you.

Uploaded files are stored privately. They do not have a public web address and can only be opened by our team.

How long we keep it

Artist applications: for up to 12 months after we have replied to you. If you ticked that we may keep your application for future opportunities, until you ask us to delete it. If we start working together, for as long as we work together and as long as the law requires for contracts and invoices.
Retreat registrations: until the retreat has taken place and any follow-up is complete.
Newsletter: until you unsubscribe.

Your rights

You can ask us at any time to see the information we hold about you, to correct it, to delete it, to limit how we use it, or to receive a copy of it. You can withdraw any permission you gave, which does not affect what we did before. Write to philine@naturalhealinghearts.com and we will reply within one month.

If you are unhappy with how we handle your information, you can also contact the Portuguese data protection authority, the Comissão Nacional de Proteção de Dados (cnpd.pt).

Changes

If we change how we use your information, we will update this page and the date at the top.
